Virginia State Government Facility Coordinator in Franklin, Virginia
The Facility Coordinator manages the Workforce Development Center’s facility rentals for private and community events and works closely with rental clients regarding reservations, payments, room set ups and equipment needs. The incumbent oversees Event Specialists’ work schedules for community and private events and works directly with maintenance, security, IT and other personnel regarding maintenance of the facility. The incumbent responsibilities include, but are not limited to the following:
Manage all facility rentals.
Serve as primary point of contact for facility rental clients.
Input room reservations into event management system.
Distribute the facility rental form and policies to facility rental clients and obtain signatures.
Collect facility rental fees as stated in the policies.
Follow up with clients on pending payments and/or refunds.
Submit rental payments to cashier to process payment and deposit.
Meet with clients to discuss room set ups and IT needs.
Maintain facility rental records.
Supervise Event Specialist and create, manage and communicate monthly schedule for staff within supervision and upcoming events.
Serve as primary point of contact for Event Specialists.
Schedule Event Specialist
Provide room set up and pertinent event rental information to Event Specialist for day of event.
Report to Computing Services of any IT needs for an event in advance.
Report room setups to the Maintenance Department.
Report any HVAC needs to the Energy Management staff for upcoming events
Assist in the hiring process for Event Specialist with the Vice President of Workforce Development.
Schedule and implement annual Event Specialist training.
Ability to interpret and apply knowledge of policies and procedures daily.
Excellent written and oral communication skills as well as strong interpersonal skills.
Proficient in the use of Microsoft Office and other relevant computer applications.
Ability to interact well with the general public as well as business entities to provide excellent customer service.
Ability to multi-task and maintain a high level of organization and attention to detail in a fast-paced environment.
Associate’s degree in communication, event planning, marketing or a related field.
Familiarity with building maintenance.
Experience utilizing computerized maintenance management systems.
Extensive knowledge of facility rental reservation systems (EventPro)
The position is limited to a maximum of 1500 hours and 29 hours per week.
